About the Invoice Generator

This free invoice generator helps freelancers, contractors and small businesses create a clean invoice or estimate (quote) in a minute, without a spreadsheet template or an account. Enter quantities and unit prices, and the subtotal, discount, tax and total update instantly in the live preview.

Add your logo, choose any of 28 currencies, then download a PDF that you can email to your client, or print it. Your data is never uploaded: everything runs in your browser, and your draft is saved only on this device.

How to use

  1. Choose Invoice or Estimate, then check the number, issue date and due date (or โ€œvalid untilโ€ for estimates).
  2. Enter your business details and your clientโ€™s details. Optionally add your logo.
  3. Add line items with quantity and unit price. Set the tax rate and an optional discount. Turn on Different tax rate per item if some items are taxed differently.
  4. Add notes and payment details, then tap Download PDF or Print. For your next invoice, tap New (next number) to continue the numbering.

What to include on an invoice

  • A unique invoice number and the issue date, so you and your client can track payments.
  • Your business name and contact details, plus your tax ID or VAT number where required.
  • Client name and address.
  • A description of each product or service, quantity, unit price and line total.
  • Tax shown separately (sales tax in the US, VAT in the UK and EU) and the total due.
  • Payment terms such as โ€œNet 30โ€ and how to pay (bank transfer, card, PayPal).

In the UK, a VAT invoice must also show your VAT registration number and the VAT rate for each item. US sales tax rates depend on the state and city, so enter the combined rate that applies to your sale.

How the totals are calculated

Subtotal = sum of quantity ร— unit price. A discount is subtracted from the subtotal first, then tax is calculated on the discounted amount for each tax rate. Total = subtotal โˆ’ discount + tax. Amounts are rounded to the smallest unit of the selected currency (cents for USD, whole yen for JPY).

Is this invoice generator really free?

Yes. There is no sign-up, no watermark and no limit on the number of invoices. You can download as many PDFs as you need.

Is my invoice data stored on a server?

No. Calculations and the PDF are created in your browser. Your draft is saved only in this browser so you can continue later. The only download is the font file used to embed text in the PDF.

What is the difference between an estimate and an invoice?

An estimate (or quote) tells a client what the work will probably cost before they agree to it, usually with an expiry date. An invoice asks for payment after youโ€™ve delivered the work. Switching the type here keeps your items and changes the title, number prefix and date labels.

Can I make invoices in other currencies?

Yes. Choose from 28 currencies including USD, EUR, GBP, CAD, AUD and JPY. Amounts are formatted with the right symbol and number of decimals.
